| Public Event Report Instructions |
If you are the faculty member in charge of the event, or the student who was assigned the responsibility of reporting by the faculty member in charge, then yes; otherwise no.
Use the pull-down to select the type of event. If this was a special event whose type is not listed, choose "other" and explain in the written summary.
Use the pull-downs to set the year, month and date of the event (not the date of the report).
Use the pull-down to select the location of the event. If the location is not listed, choose "other" and explain in the written summary.
Select your name from the pull-down. Please do not submit a report on behalf of another person. If your name is not listed, that means that you are not authorized to submit a report, so don't bother going any further.
We report on all events scheduled, whether they happened or not. If the event was cancelled, choose "No (event cancelled)" from the pull-down.
If the event involved observing of any kind, use the pull-down to choose the best-fit description of the weather. Note that "bad weather" will generally go along with "event cancelled" in the previous step. If the event was a lecture or other non-observing activity, choose "not applicable", unless bad weather prevented people from attending; if the latter case applies, please explain in the written summary.
Type a decimal number (e.g., 2.5) for the duration of the event in hours.
Give the approximate (or exact, if known) attendance at the event, not counting staff.
Provide a short written summary of the event. Include the names of people staffing or assisting with the event, the equipment used (e.g., which telescopes), topics discussed or presented, response from the public, logistical or technical problems, suggestions for improvement, etc. If the event went off smoothly, you do not have to write very much; but please write enough that this event can be distinguished from others. (For instance, for a Star Walk, you might say that people were shown how to find M31 through binoculars.) IMPORTANT: because of a quirk of CGI scripts, do not use double-quotation marks (") in your text. If you do your report will be truncated, even if it looks OK on the Report Review page.
When you are done filling in all fields, hit the Review button.
Check to make sure all entries are correct, and that you haven't used any double-quotation marks in your summary text. If you need to change something, use the browser "back" button to go back, then click on the Review button again.
When everything is perfect, click on the Submit button to submit the report. You should get a courteous response if all has gone well.
